Reading revenue reports and statistics

This guide walks through reading the key numbers for your store — revenue, profit, order count — and filtering reports down to the exact time range or staff member you want to review, with a picture for every step.

Overview of the process

Reading reports well takes just 5 steps: open the page, pick the right time range, read the overview metrics, review individual bills, then filter down to exactly what you need. Skim the diagram below before the detailed steps.

Before you start

Check the following so the numbers you read are always accurate and mean what you think they mean.

  • You are logged in, the correct store is selected, and your account has permission to view reports (usually the store owner or a manager).
  • The store has at least a few sales already — a brand-new store with nothing sold yet will show all zeros.
  • (Optional) Decide the time range you want beforehand — today, this week, this month, or a custom range — to pick the right filter faster.

  • 1Time filter — quickly pick "Today", "This week", "This month", or a custom date range.

Open the reports page

  1. From the store dashboard, go to "Reports" or "Statistics" in the menu.
  2. This page only summarises sales data for the currently selected store — it never mixes in data from other stores on the same account.
  3. If you manage more than one store, double-check the store name in the top-right corner before reading any numbers.

Choose a time range

  1. Use the time filter at the top of the page to pick "Today", "This week", "This month", or a custom date range.
  2. Every metric and list below updates instantly for the range you just picked — no page reload needed.
  3. To compare two periods (say, this month vs. last month), view each range one at a time and note the numbers down to compare.
The whole report now reflects exactly the time range you just selected.

Read the overview metrics

  1. "Revenue" is the total amount collected across every sale within the selected time range.
  2. "Profit" is revenue minus the cost price of everything sold — this tells you what you actually earned, not just what you sold.
  3. "Orders" shows how many customers were served; "Unpaid" shows how many bills still have an outstanding balance.
Profit is only accurate when cost prices are entered correctly

If the profit figure looks off (too high, too low, or equal to revenue), check product cost prices in the "Products & inventory" guide — a missing cost price is the most common cause.

Review individual bills

  1. Scroll down to the "Bills" list to see every individual sale within the selected time range.
  2. Each row shows the bill code, the customer's name (or "Walk-in customer" if none was attached), and the bill total.
  3. Click any row to see the full list of products sold in that particular bill.
You can trace back any individual transaction, not just the summary totals.

Filter by staff or unpaid debt

  1. Use the "Unpaid" filter to instantly see which bills still owe money, so you know who to follow up with.
  2. If your store has multiple staff, filter by "Seller" to see who sold the most in the selected time range — useful for reviewing performance.
  3. Combine these filters with the time range from Step 2 to get a report focused exactly on what you need.

Frequently asked questions

Does profit include costs like rent or utilities?

No — profit is calculated only as revenue minus the cost price of items sold, and does not include any other operating costs of the store.

Can I view the report for one specific day in the past?

Yes — choose "Custom" in the time filter and set both the start and end date to the same day.

Are cancelled orders counted in revenue?

No — cancelled or refunded orders are excluded from revenue and profit for the period being viewed.

Can staff members see the store's revenue reports?

It depends on the permissions granted — the store owner can restrict report access to managers only instead of all staff.

Revenue shows zero despite having sales
The wrong time range is selected, or the wrong store is active.
Double-check the time filter from Step 2 and the store name in the top-right corner of the screen.
Profit shows negative or unusually off
Some products are missing a cost price, or it was entered incorrectly.
Go to the Products page to check and correct cost prices, then refresh the reports page.
Some bills are missing from the list
That bill was cancelled, or falls outside the currently selected time range.
Widen the time range from Step 2, or check the status of that particular bill.
Numbers do not match between two views of the same range
A new sale was created or edited between the two views.
Refresh the page to pull the latest numbers — reports always reflect real-time data.
