Selling at the register (POS)

This guide walks through the entire sales screen from start to finish, one small step at a time — with a picture for every screen, so you know exactly what to click before you even open the app.

Overview of the process

Every sale in LuaPOS follows the same five small steps. Skim the diagram below first so you have the whole picture in your head, then follow the detailed, illustrated instructions for each step further down this page.

Before you start

Make sure these three things are in place — most "it does not work" moments at the register trace back to one of them.

  • You are logged in and a store is selected in the top-right corner of the screen.
  • The store already has at least one product entered (see the "Products & inventory" guide) — an empty catalogue has nothing to search for.
  • (Optional, but recommended) A barcode scanner or a thermal receipt printer is connected, so you can scan items and print receipts without extra clicks.

Below is a simplified picture of the sales screen with every important area numbered. Keep this picture in mind — every step further down this page refers back to one of these five numbers.

  • 1Product search — type a name, barcode or SKU here, or press F3 to jump straight into this field.
  • 2Search results — matching products appear here as you type; click one (or press Enter) to add it to the cart.
  • 3Customer — search for an existing customer or create a new one; press F2 to jump here.
  • 4Cart / bill — every item you have added, with quantity, unit price and line total; you can edit quantities directly here.
  • 5Total & submit — the running total and the button that finalises the sale once payment is entered.

Attach a customer to the sale

Optional
  1. In the Customer panel, click the search field (or press F2) and type the customer's name, customer code, or the last 3 digits of their phone number.
  2. Select the matching customer from the suggestion list to link this sale to their purchase history.
  3. For a first-time customer, click "Create new", fill in their name and phone number (everything else is optional), and save.
  4. You can also skip this step entirely — the sale is still created normally as a walk-in / cash transaction with no customer attached.

Search by name, code, or the last digits of the phone number — matching customers appear instantly.

Why bother attaching a customer?

If your store uses a loyalty points program, only sales with a customer attached will earn or redeem points — everything else about the sale works the same either way.

The customer's name and details now appear above the cart, and this sale will be saved to their purchase history.

Add a note to the order

Optional
  1. Use the Order note field to record anything about this specific sale that is not captured elsewhere — for example a special request, or (for pharmacies) the customer's reported symptoms.
  2. This note is saved together with the sale and can be reviewed later from the order's detail page — it does not print on the receipt by default.
The note is attached to this order and stays with it in your sales history for future reference.

Take payment

  1. Double-check the Total amount shown at the bottom of the cart before collecting payment.
  2. If the customer is redeeming loyalty points, enter the number of points in the "Use points" field — this option only appears once a customer is attached.
  3. Enter the amount the customer hands you in the "Amount given" field — LuaPOS automatically calculates the change to hand back, or the amount still owed if it is not enough.
  4. Click "Create bill" (or press Enter while your cursor is in the amount-given field) to finalise the sale.

Enter what the customer handed over — the change due is calculated instantly.

This step cannot be undone from the register

The moment you finalise the bill, stock quantities are deducted immediately. Take an extra second to check quantities and prices before confirming.

The sale is now recorded, stock has been deducted, and LuaPOS shows the receipt screen for the next step.

Print or send the receipt

  1. Once the bill is created successfully, LuaPOS opens the receipt screen automatically.
  2. If a thermal printer is connected (USB, Bluetooth, or network), click "Print receipt" to print it immediately.
  3. No printer handy? You can still download the receipt as a PDF, or send it by email or SMS if you have the customer's contact details on file.
  4. This sale now appears in your "Bills" list and is reflected in your revenue reports right away.

The sale is complete — the receipt has been delivered to the customer and the transaction is now part of your reports.

Frequently asked questions

Are there keyboard shortcuts for selling faster?

Yes — press F3 to jump straight into the product search field, and F2 to jump into the customer search field, without touching the mouse.

I entered the wrong product or quantity — how do I fix it before finalising?

Click the "Clear & start over" button above the cart to wipe the current cart and start fresh — nothing is saved until you click "Create bill".

Can I refund or cancel a sale after it has been created?

Yes — open the sale from your Bills list and use the refund/cancel action there. This restores the stock that was deducted at checkout.

The receipt is not printing even though the printer is connected — what should I check?

Confirm the printer has power and paper, that the USB/Bluetooth cable is firmly connected, and then try printing again from the Bills list — see the troubleshooting table below for more detail.

Troubleshooting

A product cannot be found in search
The product has not been added to the catalogue yet, or the name/barcode was typed incorrectly.
Check the Products page to confirm it exists, or add it on the spot from the register if your account has permission.
The barcode scanner does not respond
The scanner is not connected to the right USB port, or the cursor is not focused on a text field.
Check the USB/Bluetooth connection, then test-scan into any text field to confirm the scanner itself is working.
The receipt will not print
The thermal printer has lost connection or is out of paper.
Check the power cable, the connection cable, and the paper tray, then print again from the Bills page.
The wrong product or quantity was entered
A quick mis-click during a busy moment at the register.
Click "Clear & start over" before finalising the bill to reset the cart and start again.
